Adding Quotes, Jobs, etc. to a Project
Creating one Invoice from Multiple Jobs
Summary
Projects allow you to organize the following together and view graphically:
- Quotes
- Jobs/Quotes
- Delivery Notes
- Invoices
- Purchase Orders
- Contracts
- eForms
It's possible to see when a purchase order is due and whether it is before or after a job, or when an invoice has been raised. In the below example a project is made up of one quote, two jobs (one to prepare for the installation and the second to install), and three purchase orders.
More than one project can be shown at a time, or just one.
The dates used to place these are:
- Quotes - Date quoted
- Jobs/Quotes - Start and end dates
- Delivery Notes - Delivery date
- Invoices - Invoice date
- Purchase Orders - Expected date
- Contracts - Start and end dates
- eForms - - Start and end dates
Project Statuses
Rename, hide, show, and change the color of project statuses by selecting:
- Configure
- Projects
- Statuses
These are independent of the statuses on quotes, jobs, etc.
Creating a Project
Set up the project first from the Go To -> Projects -> New Project
The project number and description are used to identify it in the quotes, etc.
Adding Quotes, Jobs, etc. to a Project
Create a quote or other document and use the 'Project' dropdown to select the project. If this is not visible select Configure -> Quotes (or the module you are looking at) and 'Show/Hide Edit Columns' and put the field 'Project' to 'Show'.
If you create a job, delivery note, invoice, or purchase order from a quote that has the project selected this will be copied over.
Creating one Invoice from Multiple Jobs
Zigaflow allows the creation of one invoice from one or more jobs.
- Open a project
- Select the Jobs tab on the project
- Click on the 'Edit' button
- Select the jobs to create one invoice for
- Click on 'Create Invoice from selected items'
The invoice is created and automatically added to the project. If the jobs need to be listed on the invoice PDF use the tag {LinkedJobs}.
