This allows the system to send emails directly to your clients and suppliers via your email system instead of using the system's one.
When sending out emails Zigaflow will automatically use the correct email account that matches the email address entered in the "From:" field in the quote or invoice, etc.
If no matching email address is found, then the default email account is used.

Select the cog at the top right of the Zigaflow screen, then Email Management
Office 365 (O365)
Set up with:
- Email: Your email address
- Host/Server: smtp.office365.com
- Password: Your account password
- Port: 587 (usually)
- Enable SSL: Yes
Click on 'Test'. You will get a message to confirm that the connection has been made successfully.
Connection Doesn't Work?
You may get this message:
Fails?
There are two possibilities:
- SMTP is not authorized in Office365
- Two-factor authentication is set up in your Office365
Setting up SMTP
- Log in to the Microsoft 365 Admin Center
- Select Users
- Click on Active Users
- Select a user in the list
- Click on Mail
- Click on 'Manage email apps'
- Enable 'Authenticate SMTP' and 'Save'
Once you have saved it, try again.
Multi-Factor Authentication (MFA)
When a user tries to log in to O365 they have to input a code sent via SMS or use Microsoft Authenticator. In this case, you must create an 'App Password' to connect to it from Zigaflow.
Setting up MFA (if you don't have it already)
- Login into Office.com
- Click on Admin
Click on:
- Users
- Active Users
- Click on 'Multi-factor authentication to show the next screen.
- For the user-account click Enable/Disable to set up Multi-Factor.
- When the user next logs in they will be asked to set up their Authenticator / mobile contact number.
Create the App Password
Only when you have MFA set up can you set up an App Password.
DO NOT SET THE APP PASSWORD UP IN ANY OTHER LOCATIONS THAN THOSE SHOWN BELOW. App Passwords set up in a different part of O365 will not work with Zigaflow.
- Go to

- Click on 'Security info'
- Click '+ Add method'
- Select 'App Password'
- Enter a name for the app password:
- The password is generated:
- Go back to Zigaflow.
- Cog
- Email Management
- Enter the password for the user
- Click on the 'Test' button to send a test email to confirm a successful connection
- A message will appear to indicate success or failure
Microsoft Exchange
You will need to check with your IT department or company, but it will be similar to this:
Set up with:
- Email: Your email address e.g. john.smith@example.com
- Username. Your exchange username without the domain e.g. john.smith
- Host/Server: https://Your_server_name/ews/exchange.asmx e.g. https://mail.example.com/ews/exchange.asmx
- Port: - Do not enter anything
- Enable SSL: Yes
Note that if you do this, other apps may also need the app password set up.
