There are three ways you can report in Zigaflow:
- Module View - Report by clients, status, and users in one module at a time, such as Quotations or Invoices. Select Reports->Quotations (or another tool)
- Item View by module - Report by all or one item (product or service) in one module at a time, such as Quotations or Invoices. Select Reports->Items->Quotations (or another tool)
- Export to Excel

Selecting the Grouping
Select what groups to aggregate that data with:
Selecting Statuses, Types, Users, Companies & Contacts
This works in the same way as the other screens for filtering
Selecting the Report Date
There are several options for dates that are used for the reporting:
Totals, Timeline & Leaderboard
In each of the module views, there are three ways to see the data - Totals, Timeline & Leaderboard.
Totals
In this view, the system sums quotes, jobs etc, based on their current status and the date you have selected. For example, if you have selected the 'Quoted' date as the time measure, a quote that was quoted in May and now has a status of 'Accepted' will be shown in May. A quote, job, etc. will only appear once in the report, unlike in the timeline report.
This report allows you to answer questions such as:
- How many quotes created in August were accepted?
- What are the values of jobs created in August by status?
Timeline
This shows the timeline of the quote, job, etc. Each time a quote, job, etc. changes status this will appear on the timeline. For example, if a quote is:
- Created into the 'Draft' status in May
- Moved to 'Sent' in June
- Move to 'Accepted' in July
It will appear in all three months in each of these statuses. Therefore a quote or job can appear more than once on the chart (although in different statuses).
Note: If you move a job to a status more than once, for example, if it was sent, then you change it to 'Draft', edit it and set back to 'Sent' it will use the date from the first time this was moved to 'Sent. You can edit the date by clicking on one status button in the quote, job, etc. 'View Timeline' and click on the date for the status.
This report allows you to answer questions such as:
- How many quotes were accepted in August? This is irrespective of when they were created
- What is the value of work completed in August? This is irrespective of when they were created
Leaderboard
This is an expandable list of the top x users or suppliers.
Item View Reporting
Select Reports->Items->Quotations (or another tool)
This is similar to the module views above except that the reports are already grouped by item and you can't then group by customers or users.
You can view the performance of a specific item by putting it in the search box at the top. In the example below I have searched quotes with Aardvarks included.
In this view, the system sums based on their current status and the date you have selected. For example, if you have selected the 'Quoted' date as the time measure, a quote that was quoted in May and now has a status of 'Accepted' will be shown in May. An item's value will only appear once in the report.
Export to Excel
You can export data from the Quotations, Jobs, Invoices, Delivery Notes, and Purchase Orders screens using the 'Export to Excel' button. These are only visible if you have been given the relevant permission from your admin user. There are two export options:
- Standard Export - this just exports the top-line details of the quotes, jobs, etc.
- Details Export - this exports all the line items and is ideal for further analysis in Excel's Pivot Table
The export can be quickly turned into a PivotTable. This shows how to do this and includes how to create a PivotTable so you create your own reports:
